Reconciliation

A balance is finished only when the difference has a name.

Reconciliation is the agreement of a figure in the ledger to a figure someone else produced: the bank, a supplier, a card company, HMRC’s own assessment is not ours to invent. If the two figures differ, the pack lists the items. It does not force them together.

Two colleagues compare a report on a large monitor in a quiet office
The review is the unmatched list. A blurred screen in a photograph is not a client reconciliation.

The accounts we agree, and the mistake each one hides

Bank accounts

The ledger balance is agreed to the statement balance. Outstanding items are unpresented payments, deposits in transit, and bank lines we do not yet have a document for. A feed that “matches” inside the software is not the reconciliation. We still agree the closing figure to the statement, because feeds drop lines and duplicate them.

Transfers between your own accounts are ticked off on both sides. A transfer left as income on one account and unexplained on the other will inflate turnover. That is one of the first things we look for in a catch-up.

Credit cards and charge cards

The card is its own account. The statement balance is a liability. Paying the card from the current account is a transfer, not a second copy of the expenses. Personal items are moved to the director or owner account with the date and the amount, so the profit and loss is not carrying someone’s supermarket shop.

Payouts

Stripe, PayPal, shop-floor card machines and marketplaces usually pay a net amount: sales, minus fees, minus refunds, sometimes minus a reserve. If the bank receipt is coded as sales, turnover is understated and the fee never appears.

We gross it up. The sales account gets the gross sale. The fee account gets the fee. Refunds reduce sales or sit in their own account if you need to see them. The clearing account is reconciled to the provider’s balance, including any amount they have not yet paid out. That clearing balance is a real asset or liability, and it is named in the pack.

Supplier statements

Where a supplier issues a statement, the purchase ledger balance is agreed to it. Differences are bills they have that we do not, payments we have made that they have not allocated, and credit notes. We do not “write off the difference” to purchases. Aged creditors in the pack are the list, not a single number.

Customer balances

If you invoice, the sales ledger is agreed to unpaid invoices. Receipts are allocated to invoices, not dumped on account and forgotten. Overpayments and payments on account are visible. We do not chase the customer. We do stop a receipt from sitting in a suspense account past the close without being on the exception list.

VAT control

The VAT control account should move from the last return to the transactions of this period: output tax, input tax, and the payment or refund. We reconcile that movement. A return prepared from a figure that does not tie to this account is how boxes get typed twice and then drift for a year.

We prepare the working paper. We do not submit the return. Partial exemption, the capital goods scheme, and retail schemes are calculations for your adviser; we post the adjustment they give us and we keep it separate so it can be seen.

PAYE, National Insurance, pension

The liability in the ledger is agreed to the payroll reports and to the payments that left the bank. A payment to HMRC that covers more than PAYE — corporation tax, VAT, a Class 1A amount — is split. An unsplit payment is how payroll looks “paid” when corporation tax was the thing that actually left the account.

Director loan and drawings

Money the company spends for a director, and money a director spends for the company, is posted to the loan account as it happens. We list the movement monthly. We do not decide whether a balance should be a dividend, a salary or a benefit. That decision is yours and your adviser’s, made with the balance in front of you rather than reconstructed in March.

How an exception is closed

An open item stays open until one of four things happens. The monthly note repeats anything still open from prior months, with the date it was first raised, so a small difference cannot age into a large one without being seen.

  1. 1. A document arrives. The bill, the receipt or the statement line explains the amount. We post it and tick the item.
  2. 2. You confirm a treatment. For example, that a payment was personal, or that a deposit is a customer prepayment. The confirmation is kept with the month.
  3. 3. The other side corrects their statement. A supplier agrees the balance. We do not take their first statement as final if it disagrees with invoices we hold.
  4. 4. You instruct a write-off. In writing, with the amount and the nominal. We do not take that instruction as tax advice about whether the amount is allowable.

Questions

Is a software auto-match a reconciliation?

No. Auto-match is a suggestion that two lines are the same money. The reconciliation is the agreement of the closing balance to an external statement, with the leftovers listed. We use suggestions. We do not stop there.

How small a difference will you ignore?

We do not set a silent tolerance. A penny that is a rounding you have agreed can be posted to a rounding nominal and shown. A pound that we cannot explain stays on the list. Tolerances that are not written down are how ledgers rot.

Do you reconcile loans and hire purchase?

Yes, when the statement is in the scope. The payment is split between interest and capital from the statement or from the schedule your adviser approves. We do not invent an interest figure to make the liability move.

What about foreign currency?

A foreign account is reconciled in its own currency and then translated. The exchange difference is a named figure in the pack. We agree the rate source with you at the start — the rate in the ledger package, applied consistently — and we do not shop for a rate that flatters the month.

If the last reconciliation was “the bank looks about right”

Send the latest statement and the trial balance. We will say whether a monthly close is realistic, or whether a catch-up has to come first.
